Role Overview: The
People Experience Coordinator will play a key role in creating an exceptional employee experience by managing office operations, coordinating recruitment efforts, and orchestrating opportunities for employee engagement. The ideal candidate will be highly organized, have strong communication skills, and be passionate about building a welcoming and vibrant work environment. This role reports to our Chief of Staff and works closely with the HR Administrator.
Key Responsibilities: - Employee Experience & Office Management:
- Maintain office supplies and ensure the workspace is clean, organized, and inviting.
- Plan and coordinate office events (e.g., Christmas parties, birthdays, anniversaries, and team-building activities).
- Act as a point of contact for employee questions and needs related to office resources.
- Recruitment Coordination:
- Assist with job postings, candidate sourcing, and interview scheduling.
- Manage applicant tracking and ensure all resumes and applications are properly organized.
- Help coordinate onboarding by setting up new hire workstations, facilitating office tours, and ensuring all tools and software (Google, Slack, etc.) are ready for use.
- Calendar & Administrative Support:
- Maintain calendars for key employee events such as anniversaries and birthdays.
- Assist with travel arrangements and accommodations for employees traveling for business.
- Provide administrative support for People & Culture initiatives, including employee surveys and engagement programs.
- Employee Engagement & Recognition:
- Implement and manage employee engagement and recognition programs.
- Monitor employee morale and recommend ways to foster a positive and inclusive workplace culture.
- Assist in creating programs and processes to celebrate employee achievements and milestones.
- HR & Employee Support:
- Serve as the first point of contact for general HR-related inquiries from employees.
- Assist with internal communications related to HR announcements and policies.
- Ensure the smooth operation of onboarding and employee experience processes.
Qualifications: - 0-3 years of experience in office management, HR, education, or a related role (internship or entry-level experience acceptable).
- Bachelor's degree or equivalent work experience.
- Strong organizational and time management skills with the ability to multitask effectively.
- Excellent interpersonal and communication skills, with the ability to interact with employees at all levels.
- Familiarity with Google Workspace (Docs, Sheets, Calendar) and communication tools such as Slack.
- Basic understanding of recruitment processes and HR operations.
- Positive attitude and passion for fostering a great employee experience.
Bonus Skills: - Event coordination or office management experience.
- Knowledge of HR policies and procedures, with a desire to grow in the field of People & Culture.
