Billing Coordinator

Hamilton Stephens is a reputable mid-sized law firm located in desirable uptown Charlotte, North Carolina. We have an exciting job opportunity for the right candidate. We are looking to hire a billing coordinator to become a part of our growing team and friendly work atmosphere!

The ideal candidate should possess the ability to multitask, be an assertive liaison between the firm and the insurance carriers to resolve billing issues and work in a fast-paced environment. Some basic accounting and bookkeeping knowledge are very beneficial. Excellent organizational, time management skills, comfortable with repetitive tasks and the ability to take ownership of the billing process. The firm prioritizes effective and timely communication with clients and colleagues, and successful candidates will share that priority. A preferred candidate will be a self-starter and team oriented.

Primary Responsibilities:

  • Prepare and distribute monthly proformas (pre-bills)
  • Processing and handling write-offs, discounts, etc.
  • Handling of any transfers, edits, or special requests on prebills
  • Reviewing to ensure appropriate bill format, rate schedule, and address, prior to finalizing invoices
  • Provide timely information on billing and collections requests
  • Submit invoices to attorneys, paralegals, or legal assistants in a timely manner for them to disburse to the clients
  • Maintain communication with attorneys to ensure billing deadlines are met
  • Provide attorneys, paralegals, and legal assistants with billing report requests to include but not limited to, outstanding WIP, outstanding AR, etc.
  • Maintain the confidentiality of all financial matters exposed to during the course of performing job duties
  • Familiar with basic Microsoft Excel
  • Experience with legal software such as Coyote, Aderant, or Clio a preferred, but not required.

Salary & Benefits

The salary will be based on the level of experience and other qualifications. Salary: $25.50 - 28.00 per hour
